On certain occasions we collect personal information from our users in order to improve our services and strengthen business relationships with affiliates and persons interested in linking with the Chamber. On other occasions we obtain information when you navigate through our website. There are three categories of data that we may collect:


Information we automatically collect when you use our website


The Chamber automatically collects information when you visit our website from a browser or mobile device. This collection is necessary due to our legitimate interest in improving our users' experience and offering better services to our members, as well as to comply with legal obligations. Such information may fall into one of the following categories:


  • Usage Information. We collect information about your interactions with the Chamber website, including content you view, searches you perform, clicks, and other actions.


  • Access data and device information.   • Affiliate Information. To access the Chamber's exclusive member content, our Affiliates will need to use their username and password, which are necessary to authenticate access to the services and information available.


  • Information about interested parties. You may choose to provide your contact information when you fill out a form or make a query through the Chamber's website, in which case it will be understood that you are authorizing any collaborator or person acting on behalf of the Chamber to contact you through any contact method available in accordance with the information shared.


  • Payment Information. We may collect information relating to payment transactions made through the Website, including any payment method used, date and time of transaction, amount, payment instrument expiration date, address, email address and any other information relevant to the transaction. This information is necessary to enable us to offer payment services through the Website.


Information Collected from Third Parties


The Chamber may collect information that third parties may provide about you when you access the Chamber's website or apply to become a member of the Chamber. Such information received from third parties may be combined with any information we may collect from the website or otherwise, and may include,


  • Background Information: To the extent permitted by applicable law, we may obtain information from public records regarding criminal histories or individuals on the U.S. Office of Foreign Assets Control (OFAC) sanctioned lists. We may use your information, including your full name and date of birth, to obtain such reports.


  • Other sources: To the extent permitted by applicable law, we may receive additional information about you, such as demographic data, from third-party service providers and/or business partners, and combine it with information we have about you. We may also receive information about you and your activities on and off the Website through your interactions with other associations, chambers of commerce or partner networks.

Membership Management, Events, Networking and Continuing Education


  • Manage membership accounts and process membership applications or renewals.

  • Send event-related communications, confirmations and updates.
  • Facilitate networking opportunities among members and stakeholders.

You will have the right to request access to your personal information that is held by us. Affiliates can access and update some of their information through their account settings in the member section. Each affiliate is responsible for keeping their personal information up to date.


Correction and updating of inaccurate or incomplete information


You have the right to ask us to correct inaccurate or incomplete personal information about you (which you are unable to update yourself within your account when you log in as a Chamber member).


Restriction of processing


You may limit the ways in which we use your personal information when:


  • You have challenged the accuracy of your personal information.
  • The processing is unlawful and you oppose the erasure of your personal information.
  • We no longer need your personal information for the purposes of the processing, but you require the information for the establishment, exercise or defence of legal claims.
  • You have objected to the processing and are awaiting verification of whether the Chamber's legitimate grounds outweigh yours.


Deleting data


Where you have given your consent to the Chamber's processing of your personal information, you may withdraw your consent at any time by changing your account settings or by sending a communication to the Chamber requesting the deletion of your personal data. Please note that withdrawing your consent does not affect the lawfulness of processing activities based on such consent prior to its deletion.


Please note that if you request deletion of your personal information:


  • We may retain some of your personal information as necessary for our legitimate business interests.
  • We may retain and use your personal information to the extent necessary to comply with our legal obligations. For example, we may retain some of your information to comply with record retention laws, tax, legal reporting, and audit obligations.
  • The information you have shared with us may remain publicly viewable on the Chamber's website. Additionally, some copies of your information (e.g., registration records) may remain in our database but are disassociated from personal identifiers.
  • Because we maintain the Chamber website to protect it from accidental or malicious loss and destruction, residual copies of your personal information may not be deleted from our backup systems for a limited period of time.


Objection to processing


You may require the Chamber not to process your personal information for certain specific purposes (including profiling) where such processing is based on a legitimate interest pursued by the Chamber. If you object to such processing, the Chamber will no longer process your personal information for these purposes unless we can demonstrate compelling legitimate grounds for such processing or such processing is necessary for the establishment, exercise or defence of legal claims.


Where your personal information is processed for direct marketing purposes, you may, at any time, request the Chamber to stop processing your data for these direct marketing purposes by sending an email to info@colombiachamber.com.


Right to lodge complaints


You have the right to lodge complaints about data processing activities carried out by the Chamber with the relevant data protection authorities.


Minors


We understand the importance of protecting children's privacy, especially in an online environment. The Site is not designed for or directed at minors. Under no circumstances will we permit the use of our services by minors without the prior consent or authorization of a parent or legal guardian. We do not knowingly collect Personal Information from minors. If a parent or guardian becomes aware that his or her child has provided us with Personal Information without their consent, he or she should contact us at info@colombiachamber.com.


Information Security

We reserve the right to periodically amend or revise this Privacy Notice; material changes will be effective immediately upon posting of the revised Privacy Notice.
